Importing multiple contact files across sub-accounts under an Organization Account can be very tedious. Organization-level importing is a time-saving feature that allows customers with Organization accounts to import data to their different accounts in one easy import.

Contact File Formatting

We have found that some of the common support questions we are asked can be traced back to an issue with a Contact File upload. Spending a little bit of time ensuring that your contact file is formatted appropriately is well worth the investment - your entire Database will rely on this file and its format!

Files can be: .xlsx, .xls, or .csv, and should be a maximum size of 500 MB.

If you require to upload a File larger than this, it may be split into multiple files for individual upload.

When importing a file through the Organization web application, your spreadsheet must include a column that specifies the sub-account each contact should be imported into. This column should contain the name of the sub-account (i.e., the specific account within your organization) where each contact should be assigned. This helps the import tool correctly allocate the data to the right area within your account structure.

You will need a column in your file that indicates the account into which the contacts should be imported as follows:

Preparing your File for Import

From the Organization Level:

  1. Go To the Imports & Exports Page

  2. Select UPLOAD button

3. Select a File from your Local Hard drive

Once your File has finished being read, you can start your import.

4. Use the Select Account Column from the pop-up dialog to select which column in your file is the name of the account you would the contacts to be imported into.

5. You will next be prompted to view the values that were found within the column and if they align with your Ecanvasser accounts. If the account name you have chosen does not exist as a current account, the following will appear:

This will not stop the other account files from being imported into their account if the name is not recognized. So for the time being, you can select CONTINUE.

Start the Importing your File

  1. Now that your fields have been pre-matched, you can click on the START IMPORT button. Separately, you also have the option to switch how we pre-match the fields and select other fields instead.

2. The system will ask you to verify that the addresses in your contacts files appear accurate based on where they appear on the map:

Click NEXT if you are happy that the addresses are appearing in the correct place within the map.

You can now review the progress of your contact file upload.
Once the import is complete, these contacts will be listed on our Database page within each account as well as on the Import Data page.

Selecting the arrow or clicking on the import will allow you to view the progress of the Import, as well as the option to view it in the individual accounts:

Viewing your Import from the Account Level

You have the option to view your import at the account level. Here you can view the history of the individual import or delete it from the account.

Similarly to other data adopted from the Organization Level, a globe icon will appear next to the import name, indicating the contacts were imported from the Organization Level.
