List Assignments allow you to control when a list is visible in the mobile app and which users or teams can access it. Instead of assigning a list once, you can define one or more scheduled assignment windows so access changes over time based on dates and times you set.

Permissions and Access
Staffer and above roles can create, edit, and manage List Assignments.
Users with a role below Staffer cannot view or modify assignments and will only see lists when an active assignment window applies to them.
If a list has no List Assignments configured, it will not be visible in the mobile app to any user.
What are List Assignments
A list can have one or more assignment windows. Each assignment window defines:
• Who the list is assigned to (one or more users and/or teams)
• The start date and time when the list becomes visible
• An optional end date and time when visibility automatically expires
An assignment window with no end date remains active indefinitely once the start date and time are reached.
Multiple assignment windows can be added to the same list, allowing the same list to be visible to different users or teams at different times.
Assignment windows can overlap. If multiple assignment windows are active simultaneously, the list will be visible to all users and teams included in any active window.
How to add or edit List Assignments
When creating a list or editing an existing list:
Navigate to the list in your database.
2. Select a List and choose List Assignments.
3. To add an assignment window to a List, select New Assignment.
4. Choose one or more users and/or teams for this assignment.
5. Set the Start Date/time when the list should first be visible to those assignees.
6. Optionally set an End Date/time to make the list invisible after a specific period.
7. Save your changes.
You can create as many assignment windows as required on the same list to support phased access over time.
List Assignment windows
Each assignment window you create includes:
Assignment Name
Assigned users and/or teams
Start date and time (required)
End date and time (optional)
If no end date and time are set, the list will remain accessible to assigned users/teams after the start date until it is manually updated.
Assignment windows remain editable after they expire. To restore access to a list after an assignment ends, create a new assignment window with a future start date or adjust the existing one if appropriate.
Time and time zone behaviour
All List Assignment start and end times follow the account time zone set in your workspace. The same timing applies to all users, regardless of their device or local time zone.
List visibility and logic
Lists are only visible in the web and mobile apps when:
The current date and time fall within an assignment window’s scheduled period (including a 15-minute preparation window before the start time and a 15-minute wrap-up window after the end time)
The user or team is included in that window’s assignees
Lists become available 15 minutes before the scheduled start time to allow for preparation, and remain available for 15 minutes after the scheduled end time for wrap-up.
If no assignment is active/in progress, the list is not visible to any user in the mobile app.
When a list assignment ends, access to the list is automatically removed.
If a list should be accessible again later, another assignment can be added with a different schedule and assignees.
Users do not need to take any action. Lists automatically appear and disappear based on the assignment schedule.
Gantt view of assignments
You can view all scheduled list assignments in a timeline (Gantt) view on the Planner page, under the List Assignments tab.
This provides a graphical overview of when lists are in progress (active), scheduled or complete (expired), and who they are assigned to at any given time.
Use cases for List Assignments
Controlled territorial access
Prepare lists in advance and schedule them in phased windows so users cannot access the territory before the approved time.
Weekend canvassing
Schedule lists to appear only on specific days and times (for example, only Saturdays and Sundays between defined hours).
Seasonal renewals
Schedule the same list to return at regular intervals, such as quarterly, for follow-ups without manual reassignment.
Compliance windows
Ensure users only see and interact with list data during permitted time windows.
