Fast, effective appointment setting for field sales and canvassing

Ecanvasser’s user-friendly Appointment Scheduler tool lets your field agents, sales reps, and canvassers quickly schedule appointments for specific premises, households, and contacts. Managers can then view all team appointments to identify potential capacity issues and easily transfer scheduled meetings to other sales reps or canvassers if the original appointment setter can’t make it.

Overseeing Appointments as an Account Owner/Manager

The Planner page allows you to centrally manage all of your Appointments and Actions within one location.

The Appointments Section of the Planner page is made up of four main components:

  • Upcoming Appointments

  • Overdue Appointments

  • Appointment Filters

  • Appointment Settings

Upcoming Appointments

Any appointments that were scheduled for a future date and time are within the Upcoming view. This view includes the time and date for the appointment, appointment details, and assigned user(s).

Appointment Details:

  • Appointment Name

  • Contact (First & Last Name if applicable)

  • Address of Household

From here you can:

  1. Assign/Re-assign an Appointment

  2. Change the status of the Appointment

  3. Delete an Appointment

Clicking on an Appointment Name after it has been created will also give you the option to edit any of the details about the appointment further, including changing the status of it.

Overdue Appointments

The appointments that were scheduled for a date/time but were not completed are within the Overdue view. This view also includes the time and date for the appointment, appointment details, and assigned user(s) with an indication the appointment is overdue. Furthermore, you can still re-assign, change the status, and delete any overdue appointments.

Appointment Filters

You can filter your displayed Appointments by:

  • Users or Teams

  • Appointment Date

  • Appointment Status

Appointment Settings

The ability to schedule an appointment is tied to your Interaction Statuses, meaning that you can customize an interaction status so that it will auto-open a dialog to schedule an appointment at the selected house or with the selected contact.

Your Settings enable you to select which Interaction Statuses will allow users to schedule an appointment.

Interaction Statuses that allow users to schedule appointments will have a calendar icon on the status within your Customize section of the web application.

How to Schedule an Appointment within the Web Application

This can be done from a desktop computer, laptop, tablet, or any mobile device accessing Ecanvasser through a web browser (it works best with Google Chrome). Simply head over to the Database or Map page and locate the contact or house where you want to schedule the appointment.

You can schedule an appointment with a contact by selecting the clipboard icon next to the person you are engaging with. From here, you will see an 'APPOINTMENT' section within the pop-up dialog.

Next, you will prompted to input your Appointment Details.

  1. Title - Defaults to 'Appointment with (Inster Contact Name/House Address)', but can be edited.

  2. Description

  3. Date

  4. Time - Defaults to 9 am the very next day, but can be edited to the agreed-upon date.

  5. Assignee - The team member who the appointment will be assigned to.

After inputting all of the information and hitting the 'Save' button, the new appointment will appear on the web application Planner page and for the user within the Walk App.

How to Schedule An Appointment using the Walk App

From the Quick Canvass Screen

  1. Choose the corresponding interaction status that the appointment will be scheduled with. Note: You will know which statuses can schedule an appointment because they will have a chevron icon next to the status name.

  2. Use the 'Schedule Appointment' option that appears on the interactions screen above the Priority Fields section.

  3. Input Appointment Details

    1. Title

    2. Description

    3. Date & Time - Defaults to 9 am the very next day, but can be edited to the agreed-upon date.

    4. Contact (pre-populated)

    5. Address (pre-populated)

After inputting all of the information and hitting the 'Save' button, don't forget to save the interaction as well! Your new appointment will appear on the Planner page and your Walk App Calendar page.

Managing Appointments as a Walk App user

The Walk App Planner page allows users to centrally manage all of their Appointments and Actions within the app and is made up of three main components:

  • Calendar

  • Overdue Appointments

  • Appointment Filters

Calendar

All appointments, upcoming and overdue, are available within the Calendar. This view includes:

  • Time and date of the appointment

  • Appointment Name

  • Flag for overdue Appointments

Clicking on an existing Appointment will give you the option to:

  1. Edit Appointment details

  2. Delete an appointment

  3. Mark an appointment as complete.

Overdue Appointments

The appointments that were scheduled for a specific date/time but were not completed in-time are within the Overdue view. This view also includes the appointment details where a user can still Edit, Delete, or Mark an appointment as complete.

Appointment Filters

You can filter your Planner Page by:

  • Displaying Appointments

  • Displaying Actions

  • Showing Completed Appointments

  • Action Status

  • Interaction Status
